Our client, located in the Cincinnati, OH area is looking for a professional Administrative Assistant to be the face of the company and work directly with the tenants and vendors. The ideal candidate will have an interest in Property Management and work toward a future role of Assistant Property Manager. This is a direct-hire position. The Administrative Assistant with be responsible for assisting the Director and Property Managers with a variety of administrative duties. The Administrative Assistant will be responsible for: Being the face of the company and handle all the calls for the Property Management Office as well as greeting all visitors. Picking up the daily mail and distributing accordingly. Ordering office supplies and monitoring the inventory. Maintaining each of the properties documentation including Purchase Orders, Expenses and any other documentation that is required. Maintaining all the tenant files that will include leases, rent information and all communication. Doing internet and phone research that is related to purchasing products and utilizing outside vendors. Researching pricing for any items needing to be purchased for special projects (new equipment, etc.). Assisting with managing the vendors on behalf of the company that will include managing their vendor files (contracts and invoices). Preparing correspondence, mailings, presentations and proposals and needed. Working with the Property Managers to help maintain the properties chargebacks on utilities on a monthly basis and providing the information to the accounting department. Collecting the mileage expense reports from the staff and reviewing for accuracy and then submitting to Human Resources for processing. Maintaining the timesheet reports after the Property Managers has approved. Updating marketing information and creating brochures. Maintaining the Purchase Order binders. What You Need for This Position? High School Diploma – College Degree is preferred. Must be proficient in Word and Excel.Rent Manager Software experience is a plus! Property Management or Real Estate experience is highly preferred. Must be presentable in business/professional environment in both appearance and demeanor.
